    Job Description:

    To provide essential administrative and operational support to the procurement team, ensuring the smooth flow of purchasing activities for goods and services. Focuses on learning procurement processes, maintaining accurate records and facilitating communication.

    Key Responsibilities:

    Purchase Order Processing & Administration:

    • Create, Process, and track purchase orders (PO’s)accurately based on approved requisitions.
    • Enter PO data into the procurement system or ERP.
    • Maintain and update PO files and documentation electronically and physically.
    • Monitor PO status and follow up on deliveries with suppliers.
    • Process simple, low-value spot buys or catalogue orders.

    Requisition & Documentation Support:

    • Receive, review, and log purchase requisitions from internal departments.

    • Assist in verifying requisition details (description, quantity, code, approvals)

    • File and maintain procurement documentation (PO’s, Quotes, CAF) systematically. Assist with basic record -keeping and archiving.Ensure brand consistency

    Supplier Communication & Coordination

    • Act as a primary point of contact for routine suppliers’ inquiries, order status, delivery ETA, via email and phone.

    • Forward suppliers’ communications to the manager.

    • Maintain and update basic supplier contact information in the database.

    Data Entry & Reporting

    • Accurately enter procurement data into spreadsheets (excel). Maintain simple tracking logs (sample requests, supplier questionaries)

    Learning & Support

    • Learn company procurement policies, procedures, and systems. Supports procurement with market research for simple items (gathering basic price list, finding supplier contacts).
    • Assist in obtaining quotes for low value/non-critical items.
    • Help and support administrative burden of tendering process, by keeping communications logged, documents organized, and deadline tracked to ensure that things are running smoothly.
    • Perform general administrative duties for procurement department(filling, copying, scanning, managing office supplies).

    Requirements:

    • Proficiency in Microsoft Office Suite – Excel (basic formulas & formatting, Word, Outlook) is essential.

    • Familiarity or ability to quickly learn procurement software. Accurate and fast data entry skills.

    • Clear and professional verbal and written communication for interacting with internal stakeholders and suppliers.
    • Ability to manage multiple tasks, prioritize workload, and maintain meticulous records.
    • Critical for accuracy in PO creation, processing and data entry.
    • Ability to identify routine discrepancies and escalate appropriately. Willingness to understand procurement processes and regulations.
    • Dependable for daily administrative tasks.
    • Little to no prior procurement experience required, this is entry-level. Administrative, data entry, or customer service experience is highly valued.
