Job Description:
1.1. Assist legal department personnel in preparing and organizing legal documents, including contracts, agreements, and legal correspondence.
1.2. Maintain and update legal files, databases, and records, ensuring accuracy and accessibility of legal documentation.
1.3. Conduct legal research and gather relevant information on legal matters, such as regulations, statutes, and case law, to support legal analysis and decision-making.
1.4. Coordinate meetings, appointments, and travel arrangements for legal staff, managing calendars and schedules to optimize productivity.
1.5. Prepare and distribute agendas, meeting minutes, and other materials for legal meetings and conferences, ensuring timely dissemination of information.
1.6. Assist in the preparation of presentations, reports, and presentations for legal department initiatives and projects.
1.7. Respond to inquiries and requests for information from internal stakeholders and external parties, providing assistance and support as needed.
1.8. Assist with the administration of legal processes, such as document review, contract management, and litigation support, following established procedures and guidelines.
1.9. Maintain confidentiality of sensitive legal information and handle confidential documents and communications with discretion and professionalism.
1.10. Perform other administrative tasks and duties as assigned by legal department management to support the overall functioning of the legal department.
Communication & Working Relationships
3.1 Collaborate closely with legal department personnel, including attorneys, paralegals, and legal assistants, to support their administrative needs and facilitate legal processes.
3.2 Interact professionally and effectively with internal stakeholders across various departments, such as operations, finance, and human resources, to gather information and provide assistance on legal matters.
3.3 Communicate with external parties, including clients, vendors, and regulatory agencies, to facilitate legal transactions, exchanges, and inquiries.
3.4 Establish and maintain relationships with external service providers, such as couriers, notaries, and legal research vendors, to support the legal department's operations.
